Important: Before you create a Digital Learning Agreement...

You only need to create a Digital Learning Agreement once you have been nominated by your host university. You will be informed of your nomination by email.

After that, please attend the information event to which you will be invited by email from Ms. K?sters and/or read this tutorial.

Only after the event will you be able to create your DLA (Digital Learning Agreement).

Please do not complete the DLA until you have read through the information on the Digital Learning Agreement and on credit transfer at your faculty.

The creation of a Digital Learning Agreement (DLA) is obligatory for Erasmus+ students who want to spend a semester abroad.
This tutorial explains step by step how to fill in the Digital Learning Agreement in Mobility Online.
The "Digital Learning Agreement - Before the Mobility" has to be completed before the start of your stay abroad.

Note for students of Cultural Studies:

For students of Faculty of Arts and Humanities, there are some further steps to take before completing the Digital Learning Agreement.

Further reference:

In everyday communication, the term "OLA" (Online Learning Agreement) is often used. This is simply an alternative name for the DLA (Digital Learning Agreement). The DLA that you fill out in Mobility Online is automatically sent electronically to your partner university.

How to create your DLA

First log into Mobility Online with your ZIM account on the Mobility Online page. And follow the steps listed below.

You can find click-by-click instructions with pictures here.

1.

Course recording

In the application workflow in Mobility Online, click on "Enter courses in the Digital Learning Agreement" to access Table A and Table B of the DLA.

Table A: Before the mobility

? Preliminary course selection for the upcoming semester

? Orientation on course catalogues from the previous year

? At least 24 ECTS per semester must be taken

Of these, at least 15 ECTS per semester must be successfully passed

? If not: Reclaiming the entire Erasmus+ funding

Please note: The ECTS of the host university will not be converted into those of UPB!

Entering course data

? First click on "Create a new course at the host institution"

? Then enter the following details in the input mask:

o Course number at the host university

o Course name at the host university

o Number of ECTS at the host university

Confirm the course entry with "Create new course"

Table B (Recognition): Before the mobility

? Enter the courses that are to be recognised at UPB .

Enter course data in table B

? Click on "Create new course at home institution". Enter the course to be credited at UPB in the selected course package

Enter course data

? Then enter the following details in the input mask:

o Course number at the home institution

o Course name at the home university

o Number of ECTS at the home university

Confirm the course entry with "Create new course".

If you do not wish to be credited at Paderborn University for a singular course or two then please make a short statement in the specific input mask like “no recognition desired” and 0 ECTS.

Special case: No crediting of all courses at the UPB desired

Make the following entry in Table B :

o Course number: 000

o Course title: No crediting at UPB desired

o Number of ECTS: 0

? Only make this entry if none of the selected courses is to be credited

? One single entry in Table B is sufficient!

2.

Check and sign DLA

? When the course registration is complete, click on "Check and sign DLA"

? Please note: The DLA can only be submitted for signature if the minimum number of 24 ECTS in Table A is fulfilled and all required information from the general data as well as your language questionaire are given completely and correctly.

? After checking, click on “Sign DLA”

3.

Sub?mit the DLA

? Then click on "Submit digital agreement" in the application workflow in Mobility Online

? Click on "Continue to change" and then tick the box next to "Submit Digital Learning Agreement"

Only after ticking the box and saving this step, you will have submitted your DLA.

After submitting the Digital Learning Agreement

? Further processing of the Digital Learning Agreement is no longer possible. The DLA is now sent to the responsible Recognition Officer, checked and signed. As soon as a signature is available, it is then automatically sent to the responsible person at the receiving institution for signature.

? After submitting the DLA, you can view the DLA in the application workflow under "Show Digital Learning Agreement" but you can no longer edit it

You will be informed by email if the DLA is recognised/rejected by the home and/or host university. In the event of a rejection, the DLA must be created again.

? Always read the reason for rejection in order to act accordingly!

If your home or host university rejects your application, you will return to edit mode and will then need to resubmit the changes.

If you discover an error in the Learning Agreement after you have already submitted it, ask the person who is currently responsible for signing it to reject it. You can see who this is in your workflow in Mobility Online. If all parties have already signed, changes are no longer possible. In that case you can only make corrections in the DLA during the mobility.

Please note: If there is no green tick in the application workflow step in Mobility Online "Learning Agreement signed by the host university" within one month, get in touch with the administrative contact person at your host university.

4.

Check

Once all digital signatures have been added, you will see a green check mark in your Mobility Online workflow and the DLA before the mobility will be complete.
