Documents to be submitted
As an Erasmus+ student, you are required to prepare and submit certain documents before, during, and after your mobility period.
Before mobility
The Grant Agreement is the Erasmus+ contract between the sponsor (Erasmus+ student mobility coordinator) and the beneficiary (Erasmus+ student).
We will provide the Grant Agreement in a personalised format for winter semester students in July and for summer semester students in November, available for download via Mobility Online. The International Office will inform you about this in due course. Please pay particular attention to the details regarding the duration of your mobility period, the amount of your financial support, and the disbursement of the grant. The period stated in Mobility Online (which is transferred into the Grant Agreement) is deliberately broad, as your mobility is only eligible for funding if it takes place within the dates specified in the Grant Agreement. You will receive the exact dates of your stay from your host university.
Please print the document twice, sign both copies, and submit them to us in original form by post or in person before the start of your mobility period. Please note that only the Grant Agreement available for download in Mobility Online must be submitted, and not any additional attachments included in the Grant Agreement (such as the CoP and Learning Agreement). We will then sign both copies, keep one for our records, and return the other to you by post.
The Grant Agreement is the only Erasmus+ document that must be submitted with original signatures. All other documents may be submitted electronically.
The language test is voluntary and conducted online by you before the start of your mobility. You will receive an email with all the relevant information from Ms Boubaker. You are currently not required to upload the result to Mobility Online.
Native speakers of the language of instruction are exempt from the OLS test.
For students completing their semester abroad during the winter semester:
You must first submit the certificate of enrolment for the preceding summer semester and, upon receipt, upload the current certificate of enrolment for the winter semester to Mobility Online.
For students completing their semester abroad during the summer semester:
You must first submit the certificate of enrolment for the preceding winter semester and, upon receipt, upload the current certificate of enrolment for the summer semester to Mobility Online.
Example:
Student X is completing a semester abroad in the winter semester 25/26. She must submit the certificate of enrolment for the summer semester 25 and the winter semester 25/26.
The first scholarship instalment cannot be paid until these documents (certificate of enrolment from the previous semester, Grant Agreement and Learing Agreement) have been received in full by the International Office.
During mobility
Only to be submitted if there are changes to the course selection. The Learning Agreement “During the mobility” includes changes to the course selection at the partner university (Table A) as well as the changed recognition of these courses at Paderborn University (Table B).
The document must be created within five weeks after the start of the mobility (start of lectures) and uploaded to Mobility Online, signed by all parties involved.

After mobility
Confirmation of Participation
Upload the confirmation to Mobility Online within two weeks of the end of your stay abroad . Please keep the original confirmation, as you may also need it for other offices (e.g. BAF?G office).
Have the confirmation completed and signed by your Incoming Coordinator at the International Office of the partner university before your departure (max. 5 days before). You may need to provide the host university with further information (e.g. travel documents) so that they can confirm how(physical, virtual or blended) and from when to when the exchange took place.
The end date is the last day on which you are physically or virtually present at the partner university for academic purposes (e.g. end of lectures, last exam/examination).
The Confirmation of Participation is particularly important for the exact calculation of your scholarship amount. If you arrive earlier or leave later for private reasons, this will not be confirmed in the Confirmation and will not be included in your scholarship calculation.
At the end of your planned period of stay (specified in the Grant Agreement), you will receive an automatically generated e-mail with individual access to the report form. Your experience is very important and helpful for us and the European Commission. We value your feedback (both positive and negative) as it is helpful for our work and our work with the partner universities. In addition, we have to comment on your information in the Erasmus final report. Even though participation in the EU survey is voluntary, a large response is very important to us and we would be very grateful if you would participate anyway.
The online report consists largely of tick-box questions and can be completed and sent directly online. Please complete the report carefully and truthfully.
You can voluntarily upload the generated PDF result to MO.
If you have not received or lost access to the online report, we can have the system send you a new e-mail.
In addition, you must submit an individual experience report within 4 weeks of your mobility, which we will publish in our database.

In your Mobility Online access you will find a template for creating the report as well as a workflow step where you can upload the report online.
Please note the following information:
- Please make sure to keep the experience report anonymous. Only abbreviations are permitted.
- Please also make sure to fill out the cover sheet completely. This includes, for example, the degree programme, the duration of the semester, information about the partner university, etc.
The experience report is very important to us and is an important aid for future Erasmus+ students. Please respect the requirements and adhere to them.
You are also welcome to write the experience report for several students together. In this case, please also send us an e-mail with the names of the students who wrote the report together.
The second scholarship instalment cannot be paid until the documents (certificate of enrolment, CoP and the individual experience report) have been received in full by the International Office (upload in MO).
