Mobile working at Paderborn University

By offering mobile working, Paderborn University supports flexible working and the compatibility of work and private interests. Mobile working means that employees perform their work outside of the office. This makes an important contribution to the more individual organisation of employees' work, reduces the time and money spent on commuting and relieves the environment and traffic routes.

Since March 2022, the framework conditions for mobile working have been regulated in an university-wide service agreement. In principle, all employees are eligible for mobile working, provided their job duties allow it (see Annex 2 of the service agreement). Trainees are excluded from this service agreement.

Mobile working requires a high level of trust and responsible behaviour from all parties involved. To support everyone in the professional implementation of mobile working, all important information and support services are compiled here. 

 

 

Ap­ply­ing for mo­bile work­ing

1.

Consulting the service agreement

Mobile working is voluntary and can only be requested by employees, not ordered by supervisors. There is no legal entitlement to mobile working. In the service agreement on mobile working the basic objectives and important information on applying for and implementing mobile working are explained.

2.

Completion of the application form by the employee

Please complete the application form (Annex 1, see Forms for Download) and contact your supervisor.

3.

Completing your individual agreement on mobile working together with your supervisor

Based on the application form (Appendix 1), discuss your individual agreement on mobile working (Appendix 3) with your supervisor and fill it out accordingly. During this meeting, you should also discuss the regulations on occupational health and safety (Appendix 4) and data protection (Appendix 5 & Data Protection Handout) with your supervisor. 
Note: In academia in particular, changes to timetables during the semester may lead to changes in regular mobile working days. To avoid having to repeatedly adjust the individual agreement, it is recommended that you tick all weekdays and add a clear explanation stating that the weekdays may change as needed, but that the agreed XX% of working hours will be adhered to overall.

4.

Submission of the individual agreement to the section Human Resources

The completed agreement (Appendix 3) must be sent to the section Human Resources (unit 4.2 or unit 4.3) with the signatures of the supervisor and the employee and will remain in the personnel file. Appendices 1, 4 and 5 remain with your supervisor.

Tech­nic­al ser­vices

VPN access
You need a VPN (Virtual Private Network) if you want to use services that are only accessible within the university network from your computer at home.

Time recording with ATOSS 
The ATOSS time recording system enables you to record your working hours via a web application, e.g. special bookings in the context of mobile working.

Telephone management system OpenScape UC
The OpenScape UC telephone management system allows you to set up call forwarding while working remotely, for example. Your contact is unit 5.4 Facility Management.

Additional services 
Further tools and platforms that are helpful for mobile working (e.g. video conferencing tools such as ZOOM or MS Teams) can be found on the ZIM website (e.g. ZIM Help Wiki). The Central IT and Media Services (ZIM) is the point of contact for questions and concerns relating to information technology (IT) for employees in the faculties, the Department of Specialised Administrative Procedures (VIT) is available for employees from the central administration.

Train­ing op­por­tun­it­ies

Mobile working presents employees with specific challenges relating to data protection, stress and time management, but also in terms of separating work and private life. The Staff Development offers various training courses for employees and supervisors to provide support. The current course dates can be found in the course overview. Courses indicated with EN are offered in English, all other courses are conducted in German.
